Airport transfer price calculator

Price a fixed airport transfer from what it costs you: the miles driven (both ways if the car returns empty), the driver's time including waiting for the flight, the airport's pick-up or drop-off charge, then overhead and margin. The calculator gives a saloon price and uplifted executive and MPV prices you can load as fixed airport fares.

An empty return leg doubles the driving cost, so a booked job back lowers the price you need. Fares for licensed taxis (hackney carriages) are capped by the council’s tariff within its area; fixed prices like these suit private hire, executive and pre-booked airport work.

How it works

Building a fixed airport price

Passengers want a price before they book an airport run, so most operators sell fixed fares for each route. A fixed price has to cover the whole job, not just the trip: the drive back when no return job is booked, the driver’s waiting time for delayed flights and baggage, and the airport’s own charges for picking up or dropping off. The calculator adds those to a cost per mile for the vehicle and a cost per hour for the driver.

Overhead (office, dispatch and insurance) and margin go on top of the direct cost, then the price is rounded to a figure that reads well on a quote. Executive and seven-seat vehicles take an uplift on the saloon price. Price each route this way and keep a table of fixed fares by destination and vehicle class.

A return job changes everything: with a booked pick-up back, the empty leg disappears and the same route can be sold for less. For winning the work in the first place, see how to start an airport transfer business and how to get airport taxi work.

FAQ

Airport pricing questions

How do I price airport transfers?

Add up the cost of the whole job: vehicle cost per mile for the miles driven (both ways if the car returns empty), the driver's hours including waiting time, and the airport's pick-up or drop-off charge. Add overhead and margin, round the result, and sell it as a fixed fare for that route.

Should airport transfer prices include waiting time?

For arrivals, yes. Flights land late and baggage takes time, so build a waiting allowance into the price and state in your terms how much waiting is included and what happens after it.

Why are airport transfers more expensive than the same distance in town?

Because the car often comes back empty, the driver waits for the flight, and airports charge for picking up and dropping off. A fixed price that ignores those costs loses money on the run even when the trip itself looks profitable.

Can I load fixed airport prices into dispatch software?

Yes. TaxiDex supports fixed and zone-to-zone prices alongside metered tariffs, so an airport route can carry its own price for each vehicle type, shown to the passenger before they book.
