What does a taxi business need from accounting software?
Four outputs from the same job records: driver settlements, customer invoices, payments and refunds, and reporting. When they come from the jobs rather than separate spreadsheets, a fare edited in dispatch is the fare that gets settled and invoiced.
- Driver settlements: built from a driver's completed bookings over a date range (gross, commission, deductions, manual adjustments, net); a draft can be corrected and finalising locks the statement (settlements).
- Account invoicing: month-end invoices with every ride itemised (reference, date, passenger, pickup, drop-off, fare, cost centre) (corporate accounts).
- Payments and profit: payments taken in the app, at the door or on account, refunds, invoices and their status, and a profit-and-loss view (finance).
- Exports: a client's rides for a date range as a spreadsheet, every export logged (expense exports).
Does it replace an accountant or bookkeeping software?
No. It produces the operational numbers (who earned what, who owes what) and exports them; your accountant or general bookkeeping software still handles tax returns and the business's other income and costs.
How long should a taxi business keep these records?
In the UK, self-employed people must keep business records for at least 5 years after the 31 January submission deadline of the tax year; companies have their own rules. Keep settlement statements and invoices for the same period.[1]
Frequently asked questions
What is a driver settlement?
The periodic statement between fleet and driver: the driver's fares, the fleet's commission or rent, deductions, adjustments and the net amount one side pays the other.
Can drivers see their earnings?
Yes. In the TaxiDex driver app each completed job appears with the total, the driver's share and the fleet's commission, and hours, jobs and earnings are kept per shift.
